PA to Associate Director

Role Overview:

The role is to provide administrative and general support to the Associate Director. There is some traditional PA work, but the role is predominantly project-based and covers monitoring various areas of the portfolio under management on an ongoing basis and assisting the Associate Director with a wide variety of work across the whole portfolio. Being organised, efficient and detail-focused is essential. The successful candidate will also have a mature approach, capable of dealing and interacting with employees and clients at every level.

Responsibilities:

  • Taking minutes in meetings as required
  • Diary management for internal and external meetings
  • Liaising with staff on Associate Director’s behalf
  • Preparing travel directions as needed for Associate Director
  • Dealing with calls in the Associate Director’s absence as required
  • Other adhoc research and assistance as required
  • Holding and processing Petty Cash expenses for two Companies
  • Drafting letters to residents/leaseholders to advise of works, complaints, issues at the development
  • Drawing up and running Service Charge Reminders and Ground Rent Reminders (to be approved by Associate Director)
  • Merging letters / Service Charge / Ground Rent demands
  • Corresponding with Leaseholders / tenants / contractors on a daily basis via the telephone and email
  • Helping the Associate Director prepare for quarterly meetings..
  • Assisting the Associate Director during the handover process of new clients

Role Requirements:

You will need to be:

  • Customer focused, courteous and polite at all times, including while under pressure
  • IT literate and proficient in the use of Microsoft Office
  • Have a proven background in a PA role (minimum one year’s experience)
  • Conscientious and uphold confidentiality at all times
  • Ambitious, dynamic and motivated
  • A strong communicator, both verbally and written, with excellent use of grammar and spelling
  • Strong at time keeping and time management
  • Have great organisation skills
  • Self-sufficient in terms of dealing with issues and equally adept at raising issues to management/Director as required.
  • Able to work with staff and clients/suppliers at all levels and remain professional at all times
  • The ability to create strong working relationships with a wide range of people
  • The ability to work under pressure
  • Professional and maintain company etiquette inside and outside working hours
  • Presentable and well-dressed at all times as the role can be client-facing
  • Having a full clean UK driving licence is desirable

Training
Training will be provided on the job internally. You may be required to attend training courses as required throughout your employment.
